Correspondence Register
The A.I.M.S. Correspondence Register module enables you to store full details of incoming and outgoing correspondence, to attach keywords to stored correspondence, to track responses to correspondence, and to print reports selected by keyword, issuer, recipient, subject, etc. Following are the main functions available within the program:-
Add/edit correspondence details: Record details of type of correspondence, date sent or received, summary title, full text, key words, sender, recipient, who copies were sent to, date replied to, and cross-references (where applicable) between outgoing and incoming correspondence.
Add/edit names & addresses of issuers and recipients: You can build up a database of names and addresses of the issuers and recipients of correspondence, which is referred to automatically by the program when printing reports. This database is also used by the other three modules of the A.I.M.S. program.
Assign keywords to correspondence: You can build up a database of keywords which can be assigned to correspondence (up to eight keywords to any single piece of correspondence) to simplify sorting and selection of subjects. Keywords enable a more focused search than one based on the correspondence's subject heading (also available in the program) because it promps the user to use carefully selected words or phrases which minimise ambiguity and the risk of missing a match because, for instance, the plural of a word has been used in one instance and the singular in another.
Create reports: Print summary or full-text reports of incoming or outgoing correspondence selected and sorted by date, originator, recipient, and keywords. Listings can also be printed of the keyword list and the names and addresses file.
Apart from the obvious advantages of dispensing with card-index or other paper based registers, the A.I.M.S. correspondence register program gives you the benefits of being able simply to home-in on unanswered correspondence, correspondence on a specific subject or mixture of subjects, and correspondence to or from a particular party on or between selected dates. Few, if any, of these benefits are available from spreadsheet based correspondence management systems.
