Drawing Register
The A.I.M.S. Drawing Register module enables you to store full details of drawings for an unlimited number of separate sites, to print reports of all or selected drawings, and to issue drawings either automatically using pre-defined issue lists, or manually by defining who you want to receive the drawings. Following are the main functions available within the program:-
Add/edit drawings details: For every drawing you can record its reference, revision, status, date received, issuer, issuer's reference, what element, work contract, and area it applies to, whether it requires approval, who is responsible for the approval, by what date approval is due or required, what the normal distribution is when issuing the drawing, and the estimated or actual value of the work covered by the drawing. Whenever a new drawing is input the program will determine whether that reference and revision has been used before, and will determine whether the drawing is current or superseded.
Add/edit names & addresses of issuers and recipients: You can build up a database of names and addresses of the issuers and recipients of the drawings, which is referred to automatically by the program when printing issue sheets and reports. This database is used also by the other three modules of the A.I.M.S. program.
Create standard distribution lists: By reference to the names database you can build up a distribution matrix of an unlimited number of standard drawing distribution lists, recording who gets how many copies. The lists can be used as short-cuts when issuing drawings or, if recorded in the drawing data screen as the normal distribution, can be used for fully automatic issuing of selected drawings.
Issue drawings: The first step in issuing drawings is to select which drawings you want to issue. Then you can either select one or more recipients from the names & addresses database, and the number of copies they are to receive, or you can select a pre-defined distribution list from the matrix, or you can specify fully automatic issue if you have already defined which issue list is applicable to each drawing. The program will then print issue sheets (transmittal sheets) for each recipient and record the issues in the database.
Create reports: Reports can be printed, viewed on the screen, or written to an electronic file. They can be sorted by drawing reference, by issuer and reference, by work contract and reference, or by element and reference, and can be selected (filtered) by any of the stored fields or combinations thereof. Report types include all drawings, current drawings, superseded drawings, issued drawings, drawings awaiting approval, and cost. Listings can also be printed of the distribution lists and the names and addresses files.
Apart from the obvious advantages of dispensing with card-index or other paper based registers, the A.I.M.S. drawing register program gives you the benefits of automatic determination of which drawings are current, automatic distribution whenever a new revision is received, and automatic recording of issue sheet data. This latter information cannot be edited by the user, so is an auditable record of who has had what drawing when. Few, if any, of these benefits are available from spreadsheet based drawing management systems.
