Instructions Register
The A.I.M.S. Instructions Register module enables you to store full details of architect or engineer's instructions, confirmation of verbal instruction, and site instructions in three separate files, to link one to another, and to print reports of all or selected instructions:-
Add/edit instruction details: For every instruction you can record its reference, issuer or recipient, date issued or received, what element, work contract, and area it applies to, whether it has a related instruction of another type, e.g. an architect's instruction to the main contractor will usually be linked to one or more site instructions to sub-contractors.
Add/edit names & addresses of issuers and recipients: You can build up a database of names and addresses of the issuers and recipients of instructions, which is referred to automatically by the program when printing issue sheets and reports. This database is used also by the other three modules of the A.I.M.S. program.
Issue instructions: Instructions, once input into the program, can be printed out for issue as hard-copy to other parties.
Create reports: Reports can be printed, viewed on the screen, or written to an electronic file. They can be sorted by instruction reference, by issuer and reference, by work contract and reference, or by element and reference, and can be selected (filtered) by any of the stored fields or combinations thereof. Listings can also be printed of the names and addresses files.
Apart from the obvious advantages of dispensing with card-index or other paper based registers, the A.I.M.S. instructions register program gives you the benefits of automatic tracking of related instructions, the ability to produce reports by various selection criteria, and automatic printing of instructions. Few, if any, of these benefits are available from spreadsheet based instruction management systems.
